IDEATE Discontinuation – Researcher Action Required

CUNY Central HRPP has advised that the security vulnerabilities surrounding IDEATE, CUNY’s old IRB platform, have become intolerable by CUNY IT standards. CUNY IT is enforcing a full shutdown of IDEATE in the near future (an exact date is unknown). In anticipation of this shutdown, all SPH researchers should download and save a PDF copy of their IDEATE application, including ALL attachments and approval letter, as soon as possible (instructions can be found here). Any protocol data not downloaded from IDEATE will be lost when the platform is discontinued.

Below are some items for the research community to keep in mind:

  1. CUNY IT is still restricting access to IDEATE to the cuny.edu server. Public access to the website is not available. You may only access the site from a CUNY desktop or remote connection to a CUNY desktop. If you are having issues with VPN, please contact the SPH IT department.
  2. When logging into IRBManager for the first time, researchers should complete the “First Three Steps” in the Notices section of the Dashboard.
  3. When populating protocol shells in IRBManager, researchers should only upload the most recent version of their attachments from IDEATE. The CUNY IRB does not need the document history; only the approved documents.
  4. Any research personnel on an IDEATE protocol (e.g., students, coordinators, etc.) who have not been linked to the protocol shell in IRBManager should be linked before the IDEATE shutdown to streamline the process.
